Portal (Self-Service) Module

HR-WEB Portal (self-service) module has emerged in time with changes in human resources processes. The aim is to achieve the active participation of personnel and managers (in addition to HR employees) to HR applications. HR-WEB Portal is the third module following the Human Resources and Payroll Modules. It allows the personnel or managers to display certain information about themselves (leaves, payroll envelopes etc.), perform changes on them as per their authorization (enter emergency case information, perform leave planning, etc.) and also fill certain request forms (leave, advance payment etc.) and perform a workflow so that managers can display, approve or reject transactions. In today’s world where computer usage and internet opportunities are continuously increasing, HR-WEB Portal contributes to various needs of customers that have a distributed structure.


EXAMPLE -1

The employees would like to know their remaining leaves. HR continuously spends time to respond to these requests. This process can easily be performed by the employees themselves over the HR-WEB Portal.

EXAMPLE-2

The company may prefer not to print Payroll Envelopes due to the distributed structure or envelope printing costs and require the employees to view their own payroll envelopes over the internet. HR-WEB Portal makes it possible for employees to view their payroll envelopes.

EXAMPLE-3

The personnel makes Advance Payment Request on computer and starts a workflow. Afterwards, the electronic forms are circulated with approve/reject options for managers and other persons.

EXAMPLE-4

The employees and managers can perform Training and Training Activity assessments over HR-WEB; thus reducing in-house paper circulation.

As it can be seen below, the employees and managers become more involved and information sharing is increased while paper and approval (signature) issues, HR information inputs are decreased and thus computers are used more frequently. 

A user code and password is defined for each employee for all these transactions and employees can reach his/her information and perform transaction about herself/himself or the employees reporting to him/her from any computer in the company (on own desk or common usage areas) or even from home according to their permission.

For employees

·         Spending / Expense Form (used for notification to the company of spending by personnel for various reasons and if necessary, for transfer of the concerned amount to the personnel)

·         Training Request Form (ability to request training)

·         Performance Assessment Form (it is used for the employee to view own performance assessment form and perform transactions on it)

·         Issues that may be requested by the company personnel through the Other Requests screen (business card, office furniture, work form...) can also be requested through workflow.

·         Announcement Form (company announcements can be made and can be announced to other employees after workflow)

·         Suggestion Form (suggestions can be made and be announced to other employees after workflow)

·         Delegation (an employee can route all incoming workflow approvals to another personnel due to leave, duty etc. reasons)

For Managers

·         The manager can display certain information about her/his employees and perform transactions.

·         Viewing (only) the Registration Card Information under Personnel Information. (Status, organization/position, wage, insurance/tax/union, seniority information, identity information, other information)

·         Viewing documents of the personnel.

·         Receiving CV of the employee

·         Emergency Case Information (entry/update/view)

Other Features

Surveys prepared in HR-WEB are offered to employees over the HR-WEB Portal. Then survey results can be reported again within HR-WEB. Scheduled exams can be organized for employees over the HR-WEB Portal. Then exam results can again be reported within HR-WEB. Using the Reservation Transactions Screen, vehicles, halls, rooms, devices, tools etc. can be reserved by the employees for specified date and time ranges.

Workplace, photo, name, surname, organization, phone, e-mail, 1st manager, 2nd manager and similar information can be displayed for all company employees within the framework of the authorization given by the Personnel Contact Information screen.
